This privacy statement tells you all about how your personal data is collected and handled. It explains where your data is stored and the purposes for which your data is stored. It applies to all operating companies that are part of Wellco, being Wellco Holding BV, Wellco Seating BV and Wellco International BV. Wellco International BV is responsible for the processing of personal data as reflected in this privacy statement.
Wellco develops, manufactures and sells seating furniture under the Fitform brand name for people for whom sitting properly is not obvious. This seating is supplied through specialised furniture shops and care shops.

Purpose data
At Wellco, your personal data is processed because you use our services, website and/or because you provide it to us. We process data such as: first and last name, gender, date of birth, address details, phone number, email address, IP address, location data, website activities, internet browser and device type. Some examples of purposes for which we use this data are explained below:
1. Sending newsletters
Wellco sends newsletters via e-mail. These newsletters are both commercial and knowledge-sharing oriented. Your first name, last name and e-mail address are collected via the appropriate form on the website www.fitform-chair.com. In addition, you may be asked verbally or in writing to sign up for the newsletter.
2. Contact us / request a brochure
Your data will be collected when you contact Wellco through the website www.fitform-chair.com or when you request a brochure through the website. The data requested from you will be recorded with us. These include your name, company name, e-mail address, telephone number and the question you ask us and/or the brochures you request from us. If you contact us in the above ways, we may contact you by telephone in this regard.

Wellco's website collects your data to improve the website. This is done with Google Analytics. This data is anonymous and therefore not linked to your personal data. Think of information such as the duration of website visits or the pages that are frequently visited. Any data we collect from you will only be processed for the purpose for which it was collected and shared with parties strictly necessary for that purpose. You can think of a dealership where you purchased a Fitform chair or a service engineer we hire for the purpose of carrying out a warranty repair.
Your data may also be used by us to conduct a customer satisfaction survey.
We will not use data for any other purposes unless we receive your explicit consent.
Online platform HubSpot also maintains website analytics, for anonymous and already known users. Users who are already known are identified after submitting a website form or when cookies are placed on your device.
Sharing with third parties
We share your personal data with third parties only when permitted under current legislation. We provide data to third parties because:

• necessary to perform the agreement;
• we have a legitimate interest in doing so;

The data we receive and process are managed through
1. iMake
The matching of your personal data such as name, address, place of residence and telephone number is linked to the chair you have in our ERP system iMake.
2. Laposta
Newsletters are sent using Laposta. The moment you sign up for the newsletter, your name and e-mail address will be stored in the appropriate list within Laposta.
3. Microsoft
Wellco's email is hosted at Microsoft. When you contact us via email, the relevant emails are stored on Microsoft's servers.
4. Host website
Our website is hosted by Hetzner and managed by Foriety Ltd.
5. HubSpot
We use the online platform HubSpot. HubSpot will replace or complement Laposta as the platform for sending emails. Your data (contact, brochure requests, warranty registration) will be collected and used for personalisation purposes.
6. Social Media buttons
Through our website, you can be redirected to various social media platforms. Here, you can follow us and read or share our content within the respective network. You may also come across advertisements. The buttons work by means of a piece of code originating from the social media platforms. These social media platforms process your personal data according to their own privacy statement.

7. Google Tag Manager
We use Google Tag Manager to manage various scripts and tags on our website. Google Tag Manager itself does not collect personal data. 8. Cookies, or similar techniques
Wellco uses functional, analytical and tracking cookies. A cookie is a small text file that is stored in the browser of your computer, tablet or smartphone the first time you visit this website. Wellco uses cookies with a purely technical functionality. These ensure that the website works properly and that, for example, your preferences are remembered. These cookies are also used to optimise the website. In addition, we place cookies that track your browsing behaviour so that we can offer tailored content and advertisements.
On your first visit to our website, we have already informed you about these cookies and asked your permission to set them.
You can opt out of cookies by setting your internet browser to stop storing cookies. In addition, you can also delete any information previously stored via your browser's settings.

Special and/or sensitive personal data we process
Our website and/or service does not intend to collect data on website visitors who are under 16 years of age. Unless they have permission from parents or guardians. However, we cannot check whether a visitor is older than 16. Storage period
Your data will be retained by Wellco for a longer period of time, but never longer than necessary for the conduct of the business, unless we are required by law to keep your data for longer.
1. Sending newsletters
Your e-mail address and your first and last name will be stored in the Wellco database at Laposta and/or HubSpot. The storage of your data is indefinite. In fact, you can unsubscribe whenever you want, via the link at the bottom of the newsletters or by sending an e-mail to info@wellco.nl.
2. Contact us / request a brochure
The moment you contact Wellco by mail, the data you send such as your name, company name and e-mail address are stored on our mail server. Those mails are stored indefinitely.
If you request information about our products or services, your name and address details and your interest are recorded by us for the purpose of adequate lead follow-up. These will be kept for a maximum of 1 year.
3. Guarantee
We store personal data for warranty purposes indefinitely. This is because you can still call on our service department after the guarantee period has expired.
4. Analytics
The data collected by Google Analytics on the website is anonymous, i.e. not linked to your name, company or e-mail address. This data is stored within Google Analytics for 2 years.

Hubspot
HubSpot maintains website analytics for both unknown (anonymous) and known users. Users who are already known are identified after completing and submitting a website form or when a form is sent or cookies are placed on your device. This data is kept indefinitely.
Security
No physical copies will be made of your personal data. The data is managed only in the aforementioned systems and software.
Your visit to our website is secured by an SSL certificate. This means that your connection to our website is private. You will recognise this security by the padlock in front of the URL.
Your rights
We do not have a designated Data Protection Officer (DPO), but we remain fully committed to addressing your privacy concerns.
1. Right of inspection
You have the right to request your data recorded and stored with us at any time. You can do this by sending an e-mail to info@wellco.nl or by contacting us by telephone. You will then receive an overview of this data.
2. Right of rectification
Are your details incorrect? Or has your data changed? You have the right to have this rectified by Wellco. You can do this by sending an e-mail to info@wellco.nl or by contacting us by phone.
3. Right to erasure of data
Do you no longer want your data recorded at Wellco? Then you have the right to have your data erased, unless you have received a chair on loan through your health insurance company. If you have had your data deleted from Wellco, you are a user of a Fitform chair and you want to make a warranty claim, you will need to prove that you meet Wellco's warranty conditions.
4. Right to file a complaint
You have the right to lodge a complaint with the Personal Data Authority if you feel Wellco is not handling your data properly. You can do so via this link.
5. Right to stop data use (objection)
Do you not want Wellco to use your data for a customer satisfaction survey? If so, you have the right to stop the use of your personal data. You can do this by sending an e-mail to info@wellco.nl. Please then send a copy of ID proof with the passport photo, the numbers at the bottom of the passport, the ID proof number and the BSN number visibly displayed.
Obligations
Wellco processes personal data based on a legitimate interest, namely a commercial interest as well as in case of product responsibility an interest related to warranty and/or liability. Your data will never be sold by Wellco to third parties.
The data required to be supplied are the minimum data required to adequately carry out.
Wellco reserves the right to disclose data when required to do so by law, or when Wellco deems it justified to comply with a legal request/process, or to protect Wellco's rights, property or safety. In doing so, we always try to respect your right to privacy as much as possible.
